What is a bill of sale?

A bill of sale is a written record of a sale that the buyer and the seller make themselves. The template on this page has lines for the parties, what was sold, the price and the date, and for both parties to sign; they are listed under the next heading.

A bill of sale is not a title. For a car, truck or van, the car title transfer by state page sets out who handles the title transfer, the fee and the deadline in the states we cover, where we could confirm them. The release of liability by state page sets out the notice of sale in those states, where we could confirm it. The odometer disclosure statement page quotes parts of the federal odometer rule, each with its section.

How to write a bill of sale

Writing one with the template means filling in a line for each of these, typed into the PDF or written by hand on a printed copy, with one copy for each party to sign.

  • The seller's and the buyer's names and addresses
  • What is being sold, described well enough to tell it apart from anything similar
  • The item's condition, as the seller describes it
  • The price and how it was paid
  • The date of the sale
  • Anything else the parties agree on
  • Both signatures

State rules for vehicles

This site's vehicle state pages are written for selling a car, truck or van, and the vehicle bill of sale lists them. Where we could confirm what a state's agency says about notarization or about its own bill of sale form, that state's page says so and links to the source; where we couldn't, the page leaves it out, and its silence does not mean that no notary or agency form is needed.

PDF or Word

The PDF has fillable fields: open it in a PDF reader, type into the lines and print it. The Word file is for changing the wording before you print.

Both are created in your browser when you click. Nothing you type reaches us, and neither file asks for an email address.

Frequently asked questions

Is a bill of sale the same as a title?

No. A title is the ownership record a state agency issues and transfers. A bill of sale is the record the buyer and seller write themselves. Where we could confirm when a state's agency requires a bill of sale for a vehicle title transfer, that state's page says so and links to the source.

Do both parties sign a bill of sale?

The template has signature lines for the seller and the buyer, and for a second seller and a second buyer if there is one, so it can be printed and signed once for each of them. Where we could confirm that a state's agency asks for a notarized bill of sale, its page on this site says so and links to the source.

Can I write a bill of sale by hand?

You can print the template and fill in its lines by hand. What an agency accepts when a bill of sale is filed with it is a question for that agency; the state pages we have link to the government sources behind each rule.

What does it cost?

Nothing. The templates are free with no account and no email address, and the site does not sell them.
